Role Overview / Mission

The Operations Coordinator will ensure client projects move forward on schedule, the team remains accountable, and operational systems are well-maintained. This role serves as a central communication point between the founder, team, and clients, ensuring deadlines are met, updates are logged, and overall operations remain efficient. This position is suited for an organized individual who can proactively manage workflow and support a creative team.

Key Responsibilities

* **Project & Team Management**
* Manage and maintain all projects and tasks within the project management tool, ensuring deadlines, subtasks, and assignees are accurate.
* Follow up with team members on overdue or blocked tasks to advance project progress.
* Document and organize meeting notes, agendas, and action items, integrating them into the project management system.
* Track team workload and identify potential capacity issues or bottlenecks.
* **Client Operations & Reporting**
* Manage client onboarding and offboarding processes, ensuring all necessary folders, access, and documents are correctly set up or closed.
* Review and send monthly performance reports prepared by the team (e.g., Google Ads, Meta Ads) to clients.
* Send weekly client updates detailing key performance indicators, progress, and next steps.
* Develop and maintain comprehensive client information folders, including client profiles, assets, strategy documents, and brand guidelines.
* Track client requests and key deliverables.
* **Systems & Administration**
* Maintain organization and currency of company applications, shared drives, and other operational tools.
* Assist in developing and maintaining standard operating procedures, templates, and process documentation.
* Manage shared access permissions and ensure files are properly named and stored.
* Review automation workflows (e.g., Zapier, reporting dashboards) for data accuracy and assist in developing new workflows.
* **Marketing & Business Support (Secondary Duties)**
* Assist in maintaining case studies, testimonials, and client reviews.
* Help keep the company website updated.
* Attend client and team meetings as required.

Required Qualifications / Skills

* Demonstrated understanding of marketing principles, including key performance indicators like Return on Ad Spend (ROAS) and Cost Per Acquisition (CPA).
* Strong organizational and communication skills.
* Experience with project management tools.
* Comfortable using Google Workspace, Google Ads, and Meta Ads dashboards, along with basic analytics.
* High attention to detail and a process-oriented mindset.
* Tech-savvy and capable of quickly learning new systems.

Preferred / Nice-to-Have Skills

* Experience with Asana project management tool.
* Experience working in a marketing agency or a similar service-based business.
* Strong drive for structure, accountability, and order.
* Proactive approach to task management and follow-up.
* Ability to assertively and respectfully hold team members accountable.
* Aptitude for system improvement and meticulous documentation.
* Focus on fostering team alignment and productivity.

Location & Work Setup

This is a remote position. The role can be full-time, part-time, or a contractor position, depending on skills and availability.

Compensation & Benefits

The pay for this role is $20.00 to $30.00 per hour. Expected work hours range from 20 to 40 per week.
