Role Overview / Mission

This role exists to ensure the marketing agency’s daily operations run efficiently. The Operations Coordinator will facilitate smooth client project progression, maintain team accountability, and keep operational systems organized. They will serve as a central communication point among the founder, team, and clients to ensure deadlines are met, updates are recorded, and overall operations remain effective.

Key Responsibilities

  • Manage and maintain all project tasks, ensuring deadlines, subtasks, and assignees are accurate.
  • Follow up with team members on overdue or blocked tasks to advance projects.
  • Document and organize meeting notes, agendas, and action items.
  • Track team utilization and identify potential capacity issues or bottlenecks.
  • Manage client onboarding and offboarding processes, ensuring proper setup or closure of folders, access, and documents.
  • Review and send monthly client performance reports (e.g., Google Ads, Meta) prepared by the team.
  • Send weekly client updates with key performance indicators, progress, and next steps.
  • Develop and maintain client information folders, including client profiles, assets, strategy documents, and brand guidelines.
  • Track client requests and key deliverables.
  • Keep company applications, Google Drive, and other tools organized and up to date.
  • Help develop and maintain Standard Operating Procedures (SOPs), templates, and process documentation.
  • Manage shared access permissions and ensure files are properly named and stored.
  • Review automation workflows (e.g., Zapier, reporting dashboards) for data accuracy and assist in developing new ones.
  • (Optional/Secondary duties) Assist in maintaining case studies, testimonials, and client reviews.
  • (Optional/Secondary duties) Assist in keeping the website updated.
  • (Optional/Secondary duties) Attend client and team meetings as required.

Required Qualifications / Skills

  • Understanding of core marketing concepts such as ROAS (Return on Ad Spend) and CPA (Cost Per Acquisition).
  • Strong organizational and communication skills.
  • Experience with project management tools.
  • Familiarity with Google Workspace, Google Ads, Meta Ads dashboards, and basic analytics.
  • High attention to detail and a process-oriented mindset.
  • Proactive in identifying and addressing overdue tasks.
  • Ability to politely but firmly follow up with team members to ensure accountability.

Preferred / Nice-to-Have Skills

  • Experience working in a marketing agency or a similar service-based business.
  • Proficiency with Asana.
  • Technical aptitude and ability to quickly learn new systems.
  • Interest in developing and refining operational systems and documentation.

Location & Work Setup

This is a remote position. The role is available as full-time, part-time, or freelance, with an expected commitment of 20-40 hours per week.

Compensation & Benefits

The pay rate for this position is $20.00-$30.00 per hour.
